14. Build Shelves

Don’t rebuild from scratch every time.

Most people solve the same problem again and again, a little differently each time, and call it work. It’s not work. It’s re-deciding. A shelf is anything that holds a decision you already made, so you never have to make it from zero again: a template, a checklist, a boilerplate, a set of saved replies, a written-down process.

For about a decade I wrote content for Forbes, HuffPost, Adobe, Webflow, and a long list of others. Thousands of articles. I wasn’t a faster writer than the people around me, and I wasn’t a better one. What I had was a seven-step process I’d written down once: talk to the stakeholders, study the brand guidelines, research, write, optimize, edit, deliver. Every new article started on that shelf instead of on a blank desk. The shelf did the remembering, so I could spend my attention on the actual writing.

That’s the whole idea. You do the hard thinking once, you store it, and every time after that the hard part is already done. The first time you write an invoice email, a launch checklist, or an onboarding sequence, it’s real work. The tenth time should be execution, not invention. If it’s still invention on the tenth time, you never built the shelf.

A simple rule: if you do something twice, build a shelf. If you do it three times, make the shelf good. The cost of building it is paid back the first time you reach for it instead of starting over, and then it keeps paying for as long as you use it.

Memory isn’t a shelf. Memory is the thing that fails on your worst day, under stress, when you’re tired, which is exactly when you need the process most. Pilots run a written checklist before every flight, not because they forgot how to fly, but because “I’ll remember” is how competent people skip steps. Write it down so the tired version of you can’t.

In 2026 the most valuable shelf I have isn’t a template. It’s context. The AI tools I use are only as good as what they know about my work, and the gap between a blank chatbot and one that understands my project, my files, and my patterns is enormous. So I feed it. Every project I set up properly, every preference I write down once, makes the next session start higher. Context compounds, and over time whoever has accumulated the most relevant context wins. The shelf is no longer only the template. It’s everything you’ve taught your tools so you never have to teach them again.
